Progress Reviews: How to manage participation
The Performance functionality gives you, the coach, complete control over all sections of the write-up of a Progress Review, including being able to manually close a review card down in order to create the next one if you’re struggling to get a line manager or apprentice to sign it. To do this:
1.) Click performance at the top of your dashboard, then from the performance activities section, click the ‘manage participation’ button in the right-hand corner and select review type your centre uses from the drop-down menu and click continue.
2.) In the Subject Instances tab, search for your learner
Note: subject instances will show you a line for each progress review, participation instances shows you who is participating in each of the instances of the review, and participant sections shows which sections each participant needs to complete.
3.) Then under the ‘participants' header, select the 'instances' link for the specific review you wish to close.
4.) You will now see the names of each of the participants who took part in the review; you, the apprentice and the line manager.
Note:
- you can add new participants but only if they have an FI learn account, you cannot add external respondents at this stage.
- If a review is in progress or not started then some parties still have areas to complete.
- If it says submitted with a padlock next to it then it has been closed without signatures.
5.) Select the three dots for whichever participant you’re closing the review down for and click close. This means the link that was sent to that participant will no longer work.
These reviews can be reopened, so you can close these down manually to generate the next review card, and then go back in and reopen them.
The participant instances tab allows you to close or reopen specific sections within the write-up and can be used if you wish to amend or add some detail without having to go through each section again.
Please do not delete a review without prior discussion with the LMS team.
