Apprenticeship Onboarding - summary of changes made in 2025 and short code sets
In summer 2025, we introduced new onboarding processes for apprentices, and communications were sent to explain the new short code sets required to accommodate these changes.
I have attached the short code sets we now use to this article for your convenience, however, these changes should already be applied to your apprentice sign-up courses/extra courses and your exam plus sign-up courses/extra courses should already be created in your TMS. NB the sets for ADM and APT are subtly different so please ensure you open the correct attachment.
Summary of the changes:

accessplanit change only: The apprenticeship sign-up course and ‘extra courses’ are now combined into a single course – there is no longer a need to add learners to a sign-up course first and the extra courses later.

Pending apprentices will now receive their FI Learn login details as soon as they are created in FI Learn.

Pending apprentices and accountancy apprentices will have a new FI Learn dashboard.

Pending/accountancy apprentices will gain access to both an initial skills assessment and an on-programme skills assessment in their performance activities.

Pending/accountancy apprentices will gain access to new competency frameworks.

Discontinuation of the user type ‘pre-apprenticeship learner’.

Introduction of a Fundamental Skills course, which includes the initial assessments.

Introduction of Level 4 Skills Builder courses (for Level 4 apprentices only) – already implemented (see this post).

Introduction of a new ICAEW Exam Results programme, which accommodates both the old and new syllabuses (no action required – the existing programme will be updated automatically).

To support the above, the LMS Team has set up audiences so that learners are automatically assigned the correct dashboard, skills scans, and competency profiles.
