Managing Apprentice Transfers from another FI Centre - Centre Admins
There may be times that there is an apprentice that transfers from another FI Centre. In these scenario's there are certain steps that must be followed to ensure the learners experience is not affected. Please see some instructions below:
Transfers from another FI centre:
These are processed as either a "New Start" or to "Continue with their old account". To establish which, check if an old account already exists in FI Learn for the learner with the same Apprenticeship programme (use this report here ) , if so re-open this account (if suspended) by following the instructions below:
1) Edit profile - remove the old_ from username and email address and then in the Admin Only section remove old_ from the ID number
2) Untick the Suspended account box and press update the profile
3) Check the username and email address match in the below areas to what you have in your CRM and in FI Learn before enrolling onto any other PQ courses:
- ADM/APT (Email address and External ID fields)
- FI Learn (Username and Email address fields)
If the transfer learner is starting with a new level of the apprenticeship programme i.e. has completed AAT Level 3 with FI Chelmsford but is now starting AAT Level 4 with London, then a pending account should be created by the centre by enrolling the learner onto their apprentice courses in the CRM (ADM/APT). Before doing this please ensure the old account has been closed down correctly in FI Learn by adding the old_ at the beginning of the username, email and ID number. If this is not actioned first, the apprenticeship courses will upload to the existing account.
